CANCELLATION & RESCHEDULING POLICY

Reservation Commitment

All reservations made with Quality Tents LLC are considered final once payment has been completed.

Due to the limited availability of event equipment, reserved tailgate locations, and scheduled labor required to support each event, all sales are final and non-refundable.

By completing a reservation, the customer acknowledges that equipment, inventory, and staffing resources are immediately allocated for their event.

No Refund Policy

Quality Tents LLC does not offer refunds under any circumstances, including but not limited to:

• weather conditions
• personal scheduling conflicts
• changes in attendance
• travel issues or delays
• dissatisfaction with weather conditions
• customer cancellation for any reason
• event delays
• changes in game time

Customers acknowledge that tailgating and outdoor events occur regardless of weather conditions, and by making a reservation the customer accepts all risks associated with weather and outdoor environments.

Event Rescheduling

If an event, including a UTRGV football game, is officially rescheduled by the university, venue, conference, or event organizers, Quality Tents LLC will honor the reservation and provide the rental services on the newly scheduled event date.

The reservation will automatically transfer to the rescheduled date.

Rescheduled events will be serviced at no additional cost, provided the event occurs within the same season or event schedule.

Event Cancellation by Venue or Organizer

If an event is canceled and not rescheduled, Quality Tents LLC reserves the right to determine whether a credit, transfer, or alternative accommodation will be offered.

Refunds will not be issued for canceled events.

Weather Policy

Customers acknowledge that outdoor events are inherently subject to weather conditions including but not limited to:

• rain
• wind
• extreme temperatures
• storms

Weather conditions do not qualify as grounds for cancellation or refund.

Quality Tents LLC will continue to provide services unless conditions create an unsafe environment as determined solely by Quality Tents LLC.

Force Majeure

Quality Tents LLC shall not be held responsible for failure or delay in performance due to events beyond its reasonable control, including but not limited to:

• severe weather
• natural disasters
• venue closures
• government actions
• acts of God
• public safety restrictions
• transportation disruptions

In such cases, Quality Tents LLC reserves the right to reschedule services or provide credit at its sole discretion.

Equipment Allocation

When a reservation is placed, rental equipment and staff resources are immediately allocated to the event.

Because equipment availability is limited and demand is event-specific, reserved equipment cannot be reassigned once scheduled, which is why cancellations and refunds are not permitted.

Payment Disputes and Chargebacks

By completing a purchase, the customer agrees not to initiate a chargeback or payment dispute with their credit card provider or payment processor for services covered by this policy.

Any chargeback filed in violation of this agreement may result in the customer being responsible for:

• all dispute fees
• collection costs
• legal fees
• administrative costs associated with the dispute

Quality Tents LLC reserves the right to pursue recovery of these costs to the fullest extent permitted by law.

Agreement to Policy

By completing a reservation, placing an order, or using services provided by Quality Tents LLC, the customer confirms that they have read, understood, and agreed to this Cancellation & Rescheduling Policy.
